SUMMARY OF POSITION

The Convention Services Coordinator position is responsible for providing convention service support for meeting planning clients and Destination Cleveland’s partner services and amenities. This role will handle contracted meetings and conventions as assigned and provide pre-promotion, marketing and onsite services to customers. The coordinator will also assist and support housing, events and overall departmental service needs. This is a key convention services position responsible for working with customers, local partners and other departments, community awareness and overall department support as needed and directed by the Vice President of Convention Services.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manage groups of 500 attendees or less offering services including but not limited to pre-promotion through on-site needs.

  • Manage the service only meetings and events as assigned by the Vice President of Convention Services.

  • Handle all general inquiries and material requests.

  • Plan and coordinate all site inspections and familiarization (FAM) appointments and itineraries.

  • Maintain and update the services database for account and contact accuracy and consistency.

  • Distribute and deliver materials to meetings and conventions as directed by the Convention Services Managers.

  • Assist with online housing program (currently Passkey) room audits on select citywide conventions and provide backup assistance to the Senior Convention Services & Housing Manager as required.

  • Provide assistance in executing events as requested by the Director of Convention & Event Experience.

  • Manage inventory of print materials at the Convention Center and in-house.

  • Aid in coordinating offsite services meetings to new partner venues.

  • Represent the convention services department during partner orientations and present information back to the team.

  • Assist with special projects, events, reports, research and other duties with the assistance of the Vice President of Convention Services.

  • Handle miscellaneous duties above and beyond the job description as directed by the Vice President of Convention Services.

REQUIREMENTS

  • Excellent communication and organizational skills

  • Ability to set priorities and meet deadlines

  • Knowledge of and keen interest in the Cleveland area

  • Willingness and ability to work well with others within the organization and in the community, acting as a liaison between Destination Cleveland and partner organizations

  • Willingness and ability to work flexible hours, including evenings, weekends, and holidays based on client and office demands

  • Ability to effectively present information and respond to questions from customers, managers, staff and the general public

  • Understanding of “team” concept

EXPERIENCE AND EDUCATION

  • A minimum of 1+ year of related experience and/or degree from an accredited institution is preferred.

  • Demonstrated written and oral presentation skills is a plus

  • Knowledge and understanding of hospitality industry is a plus

  • Working knowledge of computer systems and related software applications, specifically Microsoft Office, Word and Excel.
